About the Role

This position offers an exciting opportunity to contribute to a dynamic team responsible for delivering high-stakes programs critical to Australian Defence Force missions.

In this role, you will be instrumental in ensuring the smooth execution of program support activities, coordinating effectively with stakeholders, meeting contractual obligations, and exceeding customer expectations.

You will have the autonomy to make decisions, own the outcome, and drive the delivery of programs that are crucial to national security.

Your Key Responsibilities
  • Provide administrative and coordination support to designated programs, managing day-to-day operations and ensuring seamless integration with other teams.
  • Coordinate project meetings, including agenda composition, minute-taking, and action item management.
  • Organise, review, and coordinate project documentation within data management systems.
  • Maintain activities and artefacts, such as risk and opportunity workshops, review boards, reporting, and continuous process improvement activities.
  • Prepare and manage project reports, including review packs, estimates at completion packs, and weekly, monthly, and quarterly status reports.

What We're Looking For
  • 2 years of relevant experience in a similar coordination/administration role within a project-driven environment.
  • Proven ability to work in a high-tempo environment, complete work on time, and with accuracy, coupled with excellent written and oral communication skills.
  • Experience in tracking and managing documentation and project cost and scope management.
  • High-level interpersonal skills and ability to manage and coordinate multiple tasks effectively, efficiently, and simultaneously.
  • Proficiency with Microsoft Office suite and aptitude to learn alternate software packages; ability to analyse and disseminate data in reports.
  • Defence-related industry experience is desirable.
