Procurement Assistant Role

The Procurement Assistant plays a vital role in supporting the procurement process within established procedures.

  • Maintaining accurate records of vendor service levels, buying terms and evaluating vendor efficiency.
  • Procuring goods and services of required quality at the lowest cost in accordance with project requirements and scheduled limits.
  • Issuing requests for quotations to vendors to procure goods or services in compliance with procurement procedures.
  • Evaluating commercial bids and concluding all terms & conditions with vendors.
  • Issuing Purchase Orders incorporating agreed pre-order terms & conditions. Obtaining PO acknowledgements. Resolving all post-order commercial issues with vendors, mediating disputes resolutions for back orders.
  • Assisting day-to-day interaction with vendors and monitoring vendor performance after completion of the project with reference to quality, schedule, deliverables, service and performance.
  • Sourcing and procuring operations and engineering materials and services in the most efficient and cost-effective method in accordance with company procedures.
  • Ensuring a full audit trail is maintained for all procurement transactions.
Key Responsibilities:
  1. Vendor Management: Maintain accurate records of vendor service levels, buying terms and evaluate vendor efficiency.

  3. Quotation Management: Issue requests for quotations to vendors to procure goods or services in compliance with procurement procedures.
  4. Bid Evaluation: Evaluate commercial bids and conclude all terms & conditions with vendors.
  5. Purchase Order Management: Issue Purchase Orders incorporating agreed pre-order terms & conditions. Obtain PO acknowledgements. Resolve all post-order commercial issues with vendors, mediate disputes resolutions for back orders.
  6. Performance Monitoring: Assist day-to-day interaction with vendors and monitor vendor performance after completion of the project with reference to quality, schedule, deliverables, service and performance.
  7. Operations Procurement: Source and procure operations and engineering materials and services in the most efficient and cost-effective method in accordance with company procedures.
  8. Transaction Audit: Ensure a full audit trail is maintained for all procurement transactions.
