We are seeking a highly skilled and organized professional to join our team as an Administration Assistant.

This is a fantastic opportunity for someone who enjoys working in a fast-paced environment and has excellent communication skills.

Your key responsibilities will include:

  • Providing exceptional customer service and being the first point of contact for residents, visitors, and external stakeholders.
  • Managing the front desk, including maintaining a clean and organized reception area, ensuring communal spaces are well presented and well stocked, and the parcel room is tidy and organized.
  • Answering phone calls, responding to emails, and directing inquiries to the appropriate team members.
  • Meeting and greeting visitors, alerting the team to tour arrivals, accepting package deliveries, and providing general administrative support.
  • Assisting with data entry, document preparation, and file management, including capturing frontline customer insights and entering and updating customer data.
  • Monitoring various communication channels, including social media, email, and the app, triaging and allocating complaints and queries.
  • Responding to comments and feedback on building channels, composing and sending broader building communications, and uploading digital content to various platforms.
  • Preparing move-in and welcome packs, coding keys, and logging additional charges with the finance team and updating systems to reflect customer move-ins/move-outs.
  • Monitoring cases and complaints in the system to ensure all customer queries are dealt with promptly.

About You

  • 1-3 years of administration experience.
  • A real estate experience or similar highly transferable skill set from another reception or administration role.
  • The ability to manage multiple and competing tasks and enquiries efficiently.
  • Great attention to detail.
  • Ethical, disciplined, and believes in self-development.
  • Resilient and can multitask with ease.
  • Values workplace relationships and the opportunity to mentor and be mentored.
  • Excellent phone manner.
  • Exceptional time management and organisational skills.
  • Good Microsoft Office applications skills.
  • Willingness to learn new systems and processes.
  • Strong written and verbal communication skills.
  • Discretion, diplomacy, and the ability to maintain confidentiality.
