Job Overview:
Administrative Support RoleWe are seeking a skilled and organized individual to support our HR and office operations. This role will provide administrative assistance to the HR Manager, ensuring seamless day-to-day activities.
The ideal candidate will have excellent communication skills, attention to detail, and the ability to maintain confidentiality.
Main Responsibilities:
- HR Administration (80%):
- Maintain accurate and up-to-date HR data and records via the HRIS system and manually where necessary.
- Ensure employee handbooks are kept up to date and accessible.
- Support in driving and anchoring HR initiatives, policies, and procedures and suggest improvements and adjustments where appropriate.
- Assist managers with HR-related administrative tasks e.g. annual performance and merit review process, maternity leave.
- Produce HR letters relating to probationary periods, employee job changes/promotions and termination, etc.
- Office and Facilities Co-ordination (20%):
- Oversee the general office facility, welcoming visitors and ensuring the site is fit for purpose.
- Coordinate monthly employee meetings with managers, including logistics, agendas, etc.
- Create and track annual facilities budget in consultation with the finance director.
- Support office data management, including offsite archiving and confidential waste disposal.
- Regularly monitor and maintain office equipment and supplies, including reordering and restocking.
- Liaise with cleaning suppliers to ensure the site is clean, well-presented, and organized.
- Provide and monitor security pass allocation and access.
- Participate in ISO27001 audits, and lead on office-related ISO27001 policies and procedures.
