Job Summary

Administrative Support Role

The successful candidate will provide a welcoming and efficient front desk service at the child and family centre.

Key Responsibilities:

  • Front Desk Management: Greet and assist all visitors and clients in a friendly and professional manner.
  • Answer and direct phone calls, taking messages as necessary.
  • Maintain a clean and organised reception area.
  • Appointment Coordination: Schedule and confirm appointments for clients with various service providers.
  • Manage the centre's appointment calendar and ensure timely communication with clients.
  • Administrative Support: Perform general administrative tasks such as filing, photocopying, and data entry.
  • Assist with the preparation of reports and correspondence.
  • Maintain accurate and up-to-date client records.
  • Client Assistance: Provide information and support to clients regarding available services and resources.
  • Assist clients with completing necessary forms and documentation.
  • Handle client inquiries and resolve issues or escalate them to the appropriate staff member.
  • Organisational Contributions: Commit to a high level of quality management through the use of quality management systems.
  • Contribute towards the development of child and family centre reception processes.
  • Actively participate in the maintenance of a high level of workplace health and safety standards.
  • Adhere to all relevant policies and procedures.
