Digital Portfolio Support Officer

">About the Role:

We are seeking a highly skilled and experienced professional to play a key role in establishing our new Digital Portfolio Management Office.

The successful candidate will be responsible for coordinating preparation of program status reports, scheduling meetings, preparing meeting packs and agendas, taking minutes and actions, maintaining a portfolio risk register, and contributing to the uplift of portfolio governance maturity.

Your Key Responsibilities Will Include:
  • Providing administrative support for the digital portfolio governance structure.
  • Serving as secretariat services to the Digital Steering Committee and its Program Boards.
  • Managing the forward calendar of agenda items and coordinating with Chairs to approve agendas.
  • Actively contributing to the improvement of processes which will uplift portfolio governance practices.
  • Identifying opportunities to streamline processes, reduce duplication, and increase stakeholder satisfaction and design and implement approved improvements.
  • Drafting routine responses and correspondence.
  • Establishing and maintaining electronic document management systems in accordance with our record management standards.
  • Establishing and managing the forward calendar of meetings for the Steering Committee and Program Boards.
