Legal Operations Manager Role

A pivotal role in our commercial law firm, as a Legal Operations Manager, you will play a key part in ensuring the smooth operation of our business. This involves managing operational processes that support our entire organization, from client onboarding and data integrity to office management and risk compliance.

Key Responsibilities:
  • Operational Support: Provide day-to-day operational assistance to the team, maintain our internal events calendar, lead our Social Committee, arrange key people events, manage office logistics, coordinate with vendors and suppliers, and ensure seamless office and remote working setups.
  • Risk and Compliance Management: Coordinate client onboarding processes, maintain accurate records of engagement letters and client documentation, liaise with insurance brokers, implement regulatory compliance activities, support trust account reporting, and ensure adherence to AML/CTF obligations.
  • Data Quality and Technology: Ensure the accuracy and consistency of client, matter, and billing information, coordinate with external tech providers, and maintain shared digital resources.
  • Billing and Finance Support: Assist with end-of-month billing, follow up on outstanding invoices, and perform other related tasks.
  • People and Culture Management: Manage paralegal rosters, support recruitment logistics, lead onboarding and offboarding processes, create and update processes, maintain key employee lifecycle documentation, assist with CPD and internal training events, and record CPD points and certifications.
Requirements:
  • At least 3 years of experience in a law firm, legal operations team, or professional services environment.
  • Excellent knowledge of legal practice systems.
  • Confidence in using various technology tools.
  • Ability to work independently, prioritize tasks, and adapt to changing circumstances.
  • A proactive approach to problem-solving.
  • Outstanding organizational skills and attention to detail.
  • Strong communication and stakeholder engagement skills.
Desirable Requirements:
  • Familiarity with HR administration, recruitment processes, and/or learning and development support.
  • Understanding of compliance obligations and risk management in a legal context.
  • Experience supporting client onboarding compliance.
  • Proficiency in producing draft bills for clients.
  • Prior involvement in technology rollouts or process improvement initiatives.
  • Familiarity with professional indemnity, cyber, and business insurance processes.
