About this role:

We are seeking a skilled professional to support project delivery by managing workforce mobilisation, logistics, and administration.

Key Responsibilities:
  • Mobilisation & Logistics
  • Coordinate mobilisation and demobilisation of personnel across multiple project sites, ensuring seamless transitions and efficient use of resources.
  • Organise rosters, RDOs, accommodation, and travel arrangements to meet the needs of the team and stakeholders.
  • Ensure compliance with client and site access requirements, maintaining a high level of professionalism and attention to detail.
  • Onboarding & Compliance
  • Support new starter onboarding, including inductions, training, and documentation to ensure a smooth transition into the team.
  • Monitor compliance requirements (tickets, competencies, medicals, equipment registrations) to maintain accurate records and prevent delays.
  • Maintain accurate personnel and training records, providing valuable insights for future planning and development.
  • Administration & Reporting
  • Manage company systems and OneDrive filing, ensuring data is up-to-date and easily accessible.
  • Prepare and update operational reports, including equipment checks and prestart defect reports, to inform decision-making and drive improvement.
  • Take minutes for meetings and distribute as required, keeping stakeholders informed and engaged.
  • Handle mail, filing, and general office documentation, maintaining a high level of organisation and attention to detail.
  • Procurement & Accounts Support
  • Raise purchase orders and process material orders, streamlining procurement processes and improving efficiency.
  • Assist with invoice reconciliation and administrative accounts support, ensuring financial accuracy and transparency.
  • Manage and maintain office consumables (PPE, uniforms, stationery, supplies), maintaining a safe and productive working environment.
  • Team & Office Support
  • Act as the first point of contact for calls and emails, directing queries to the right department and providing excellent customer service.
  • Provide admin support to senior staff and project managers, freeing up their time to focus on key tasks and responsibilities.
  • Assist with ad-hoc tasks to ensure smooth day-to-day operations, demonstrating flexibility and adaptability in a fast-paced environment.
