Project Coordinator

At Challenger, we're seeking a highly organized and proactive Project Coordinator to join our team. As a key member of our project management team, you'll play a vital role in supporting our Program Director with a variety of project-related tasks and day-to-day administration and operational support.
About the Role
As a Project Coordinator, you'll be responsible for ensuring smooth coordination between teams, managing timelines, and maintaining high standards of project governance. You'll work closely with project teams to update progress and adjust plans as necessary, and ensure that all records are accurate and accessible to stakeholders.
Key Responsibilities
- Project Planning and Scheduling: Assist in the development and maintenance of project schedules, ensuring tasks and milestones are clearly defined and tracked.
- Documentation and Reporting: Produce high-quality documentation, including meeting minutes, status reports, risk logs, and project plans.
- Stakeholder Communication: Act as a primary contact point for project-related queries, communicating effectively with both internal teams and external stakeholders to ensure alignment and support.
- Meeting & Workshop Coordination: Schedule and organize project meetings, workshops, and steering committees, handling logistics including venue booking, agenda preparation, and distribution of materials.
- Action, Risk and Issue Management: Monitor project risks and issues, assisting in the development of mitigation plans and ensuring they are escalated where necessary.
- Budget and Resource Tracking: Support budget monitoring activities by tracking expenses, forecasting costs, and ensuring project resources are allocated effectively.
- Change Control: Maintain and update change control logs, ensuring that any changes to scope, timelines, or resources are documented and appropriately communicated.
- Project Governance: Ensure that project activities are in line with internal policies, procedures, and governance frameworks.
Requirements
- Exceptional organizational skills with proven experience of managing multiple priorities and keeping projects or workstreams on track.
- Strong proficiency in Microsoft Office, particularly PowerPoint and Excel.
- At least 1 year of experience supporting managers or teams in delivering projects, change initiatives, or events.
- Excellent documentation and reporting skills with a high level of accuracy and attention to detail.
- Exceptional verbal and written communication skills with the ability to engage and manage stakeholders at various levels.
