The Role

We are seeking an experienced Executive Assistant to provide comprehensive support to our Chief Property and Retirement Living Officer. This is a full-time position working from our Head Office in Subiaco, with a competitive salary and benefits package.

Key Responsibilities
  • Diary and Email Management
    • Receive, prioritise, and action meeting requests from internal and external stakeholders
    • Monitor and manage diary to ensure effective preparation of reports and project work
    • Monitor email inboxes regularly, categorising emails or deleting junk/spam
    • Draft correspondence on behalf of the Chief Property and Retirement Living Officer as required
    • Ensure all contacts are up to date
  • Executive Support
    • Assess the importance of matters for the Chief Property and Retirement Living Officer, delegating tasks to staff or personally addressing matters as needed
    • Follow up on redirected queries
    • Produce documents, briefing papers, reports, and presentations
    • Liaise with and maintain positive relationships with stakeholders, including clients, consultants, suppliers, and Amana Living staff
    • Maintain paper and electronic filing systems
  • Meeting Management
    • Schedule meetings and book venues and other resources
    • Compile and distribute agendas and meeting materials
    • Coordinate refreshments and catering
    • Take, prepare, and distribute minutes as required
  • Building and Lease Management
    • Manage external leasing requirements and liaise with leasing agents on building, maintenance, and cleaning issues
    • Ensure high cleaning standards to the public areas of the Amana Living corporate office building
    • Liaise with the contracted cleaners and manage the cleaning contract
About You

We are looking for an experienced Executive Assistant with strong organisational skills, effective time management, and the ability to provide high-quality, customer-focused administrative support. This role is crucial in assisting the Chief Property and Retirement Living Officer and their team.

  • Exceptional time management and coordination skills
  • Strong research and problem-solving skills
  • Excellent written and verbal communication skills with a talent for relationship building
  • An ability to work independently while also being an active team player and collaborator
  • Previous experience using Diligent boards (desirable)
  • Experience as a SharePoint administrator or in a similar role (desirable)
Essential Criteria
  • Evidence of COVID-19 and current 2024 flu vaccinations per Amana Living policies
  • Ability to obtain a National Police Clearance (within 6-months validity)
  • Successful completion of pre-employment form and reference checks
  • Be able to demonstrate comprehensive experience in a similar role
  • Intermediate to Advanced knowledge of Microsoft Office Suite
  • A demonstrated ability to learn and/or implement new software systems
