About the Role

We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive support to our Chief Property and Retirement Living Officer. This is a full-time position working from our Head Office in Subiaco.

Key Responsibilities
  • Diary and email management: Receive, prioritize, organize, and action meeting requests from internal and external stakeholders, monitor and manage diary to allow for effective preparation of reports/agenda submissions and project work, and draft correspondence on behalf of the CPRLO where required.
  • Executive support: Assess the importance of matters for the CPRLO, delegate tasks to staff for handling, or personally address matters as needed, follow up on redirected queries, produce documents, briefing papers, reports, and presentations, liaise with and maintain positive relationships with all stakeholders, including clients, consultants, suppliers, and Amana Living staff, and maintain paper and electronic filing systems.
  • Meeting management: Schedule meetings and book venues and other resources, compile and distribute agendas and meeting materials, coordinate refreshments and catering, and take, prepare, and distribute minutes where required.
  • Building and lease management: Manage external leasing requirements and liaise with leasing agents on building, maintenance, and cleaning issues, ensure high cleaning standards to the public areas of the Amana Living corporate office building, liaise with the contracted cleaners and manage the cleaning contract, and ensure the Property & Retirement Living team is supported as required.
About You

We are looking for a candidate with exceptional time management and coordination skills, strong research and problem-solving skills, excellent written and verbal communication skills, and the ability to work independently while being an active team player and collaborator. Previous experience using Diligent boards and SharePoint administration is desirable. You must be able to obtain a National Police Clearance and demonstrate comprehensive experience in a similar role. Intermediate to Advanced knowledge of Microsoft Office Suite is required.
