Key Responsibilities- Develop and maintain productive working relationships with key contacts within the firm;
- Manage electronic and hard copy documents and files, ensuring accuracy and confidentiality;
- Coordinate diary management and organization of fee earners, ensuring seamless communication and collaboration;
- Prepare and edit documents, including the use of precedents and new documents, to a high standard;
- Organize and coordinate meetings, ensuring timely and effective communication;
- Monitor emails and respond to telephone calls, providing exceptional customer service;
- Arrange and coordinate interstate travel, ensuring smooth logistics and arrangements;
- Draft and prepare correspondence, documents, and amendments, ensuring accuracy and attention to detail;
- Reconcile corporate AMEX expenses through Concur, ensuring timely and accurate processing;
- Manage high-volume file management, including file opening and closing, electronic and physical filing, and conduct the billing cycle, including end-of-month billing, time recording, and reporting using Elite;
- Manage client billing protocols, ensuring accuracy and compliance;
- Perform other ad-hoc duties as required, demonstrating flexibility and adaptability.
- 2+ years of previous EA or legal secretarial experience, ideally gained in a high-volume and fast-paced environment;
- Excellent prioritization and organizational skills, with the ability to multi-task and manage competing demands;
- Strong understanding of MS Office applications, including Word, Excel, PowerPoint, and other software;
- Ability to prioritize multiple tasks and manage deadlines, ensuring timely delivery and high-quality results;
- Strong client focus and demonstrated ability to form enduring relationships with peers, internal stakeholders, industry experts, and clients;
- Adaptable and flexible nature, with the ability to work in a dynamic and ever-changing environment;
- Ability to deal with confidential information in a discrete manner, maintaining confidentiality and discretion;
- High level of accuracy and attention to detail, ensuring error-free work and high-quality results;
- Ability to clearly and confidently communicate at all levels, both verbally and in writing;
- Proactive approach and high levels of initiative, with a willingness to take on new challenges and responsibilities;
- High level of energy and enthusiasm, with a positive attitude and a commitment to delivering exceptional results.
