The Role

This position involves providing high-quality confidential secretarial and executive support services to the Chief Operating Officers.

The key responsibilities include:

  • Providing administrative support services, including meeting coordination, document preparation, and internal/external communication.
  • Preparing agendas, minutes, and information for meetings in a timely manner.
  • Managing calendars, making and confirming meetings, and ensuring relevant information is prepared.
  • Maintaining effective time management practices, prioritizing appointments, correspondence, and telephone calls.
  • Organizing necessary documents required for discussions, reports, briefing notes, and correspondence.
  • Receiving enquiries and correspondence, initiating and following up on action, liaising with relevant employees and external stakeholders.
  • Communicating with other executive members, government departments, clients, suppliers, and community organizations on behalf of the Chief Operating Officers.
  • Disseminating instructions and advice from the Chief Operating Officers to other staff as requested.
  • Organizing travel, accommodation, and business arrangements, maintaining accurate itineraries and meeting deadlines.

Ideal Skills & Qualifications

We seek a candidate with:

  • A high level of experience providing executive and administrative support.
  • Demonstrated interpersonal and negotiation skills, communication, and relationship management skills with various stakeholders.
  • A proven ability to identify and resolve issues using an innovative approach.
  • Capacity to make a positive contribution to work team performance.
  • Excellent organizational and planning skills in managing competing priorities in a busy environment.
  • Able to undertake research and create professional documentation, such as reports, briefing papers, general correspondence, and executive communications.
  • Familiarity with Microsoft Office suite, including Teams, SharePoint, Word, Excel, Outlook, PowerPoint.
  • A current National Police Check and Covid-19 vaccinations.
