Customer Service Coordinator Job Description

We are seeking a highly skilled and organized individual to join our administration team as a Customer Service Coordinator. This role will involve providing exceptional customer service and administrative support to our participants and therapists.

Main Responsibilities:

  • Schedule therapy sessions using Skedulo, ensuring alignment with participant's Therapy Plan or Habit Coach Action Plan.
  • Reschedule sessions when necessary due to practitioner or participant unavailability.
  • Onboard new participants by explaining how we deliver our services in the social model and setting expectations for collaboration.
  • Complete risk assessments over the phone and accurately record identified risks to ensure safety for therapists and participants.
  • Maintain accurate Service Agreements for participants.
  • Attend weekly team meetings to share stories of impact and best practices.

Requirements:

  • Demonstrated experience with scheduling or rostering software.
  • 2-3 years' experience in administration with a customer service focus.
  • High skill level in managing client databases and practice administration systems (experience with Salesforce advantageous).
  • Personal responsibility for participant satisfaction through consistently meeting or exceeding customer needs.
  • Ability to work with a sense of urgency, prioritize tasks, and maintain high productivity levels.
