
Executive Administrative Support Specialist

This is a challenging role that requires a high level of administrative support. The successful candidate will be responsible for providing direct assistance to the CEO and supporting the Senior Management Team with various tasks.
- Provide administrative support to the CEO, including preparing reports, gathering information requests, and performing clerical functions such as preparing correspondences, receiving visitors, arranging conference calls, and scheduling meetings, note taking, record keeping;
- Act as the first contact point for busy members of the Senior Management Team (SMT) and follow up action items with the SMT and provide feedback internally and to external stakeholders;
Responsibilities:
- Assist the CEO with day-to-day activities, including responding to emails, making travel arrangements, and coordinating events;
- Support the SMT with meeting coordination, including preparing agendas, recording minutes, and distributing documents;
- Sort and distribute incoming and outgoing correspondences for the CEO and the SMT;
- Coordinate key documents for Board signatures such as Grant agreements and Contracts;
- Read and analyze incoming proposals, motions, and reports to determine their significance and plan their distribution and set up follow up schedules;
- Provide support and assistance to the corporate team and work directly with the Corporate Services Officer;
- Any other tasks as may be required by the CEO or Senior Management Team;
Requirements:
- Ability to communicate well with a wide range of people across organizations, community groups, and government offices;
- Working knowledge of all electronic office equipment's, and general knowledge of computer hardware and software, as well as ability to work with general office communication applications such as emails and internet;
- Demonstrated experience in administrative and clerical procedures and systems such as minute taking, word processing, organizing meetings, and preparation and distribution of agendas;
- Excellent time management and organizational skills;
- A good understanding of Community Controlled Health Organizations in the Northern Territory;
- Basic knowledge of business and management principles involved in strategic planning, resource allocation, human resources function and coordination of people and resources;
Desirable Attributes:
- Experience working in an Aboriginal controlled organization;
- Qualifications in Administration and minute taking;
Additional Information:
- Original qualifications must be available for viewing and copies to be kept on personnel file;
- Applications must have an Ochre Card and a Current Police Check and/or ability to obtain these prior to commencement;
- Applicants must be able and willing to undertake travel throughout the NT and Interstate (sometimes as a light aircraft passenger) and possess a C class Driver's Licence;
