Job Description
">As an Administrative Coordinator, you will provide high-level administrative support to a Regional Portfolio Director and team. The successful candidate will have demonstrated experience as an Executive Assistant or Assistant Project Officer, with strong communication and organisational skills.
">The role involves acting as the first point of contact for the Director, screening and triaging incoming calls, and answering enquiries in an accurate and timely manner.
">You will prioritise requests to facilitate the optimal use of the Director's time, manage and sort incoming and outgoing mail, complete diary and travel management, schedule and coordinate meetings, prepare high-level documentation, and gather and collate information to assist in informed decision making outcomes.
">In addition, you will manage and maintain office equipment and stationery, work collaboratively with a wide range of stakeholders, and contribute to the development and implementation of innovative improvement strategies to mitigate risk.
">Key Responsibilities:
">- Act as the first point of contact on behalf of the Director
- Screen and triage incoming calls, answer enquiries in an accurate and timely manner
- Prioritise requests to facilitate the optimal use of the Director's time
- Manage, sort and distribute incoming and outgoing mail
- Complete diary and travel management
- Schedule and coordinate meetings including setting up, catering, equipment and overall presentation
- Prepare high level documentation including requests for advice, briefs, meeting minutes, agenda's, correspondence, reports and presentation material
- Gather and collate information to assist in informed decision making outcomes
- Manage and maintain office equipment and stationery
- Work collaboratively with a wide range of stakeholders to facilitate engagement and contribution of ideas
- Records and database management, ensuring high integrity, accuracy and confidentiality
- Contribute to the development and implementation of innovative improvement strategies to mitigate risk
- Evaluate compliance with Departmental policies and procedures
About You:
">The ideal candidate will be committed to commencing and committing to the duration of the assignment. They must also be fully COVID vaccinated or medically exempt, willing to undergo a National Police Check, and able to work independently and as part of a team.
