Administrative Role

This is a key role that involves data management, administrative tasks and site maintenance coordination.

The successful candidate will have experience in similar roles and possess strong organizational skills, proficiency in computer systems and excellent communication abilities.

  • Data entry for site maintenance system: The incumbent will be responsible for accurately entering data into the site's maintenance system to ensure seamless operations.
  • Assist with collation of contractor and employee timesheets: This includes preparing reports, coordinating paperwork and maintaining accurate records.
  • Compilation, filing and coordination of maintenance related documentation: Ensuring all relevant documents are up-to-date, accessible and easily locatable by maintenance personnel.
  • Liaise with maintenance superintendent for collation of data for reporting: Maintaining open lines of communication between team members to guarantee timely information exchange.
  • Preparation and generation of EOM reporting as required: Generating comprehensive reports that outline performance metrics, operational data and recommendations for improvement.
  • Assist the maintenance team with purchasing requirements and organisational systems, including contacting suppliers for pricing, order lead times and delivery / follow up, completion of purchase orders and receipting and associated data entry: Ensuring smooth procurement processes, efficient supply chain management and correct recording of transactions.
  • Induction and training scheduling: Coordinating induction programs, arranging training sessions and facilitating knowledge transfer among team members.
Key Requirements
  • Previous mine site experience as plant clerk / maintenance administrator
  • AMT maintenance system experience highly regarded
  • Experience with invoice approval / goods receipting
  • Current QLD ResHealth medical
  • Current standard 11 statement of attainment
  • Have a working knowledge of the Whitehaven accommodation process
  • Epicor experience (not essential)
  • Experience with contractor management systems (CMS)
  • Permanent full-time role based at Daunia Mine
  • Monday to Friday, with accommodation provided
