Customer Order Support Specialist

This role provides end-to-end support for customer orders and inquiries, ensuring exceptional customer service.
- Interact with customers to provide information on orders, products, and other customer-related issues.
- Communicate effectively with internal teams to gather information on customer orders and maintain relationships.
- Raise jobs, purchase orders, and enter orders into current systems, reviewing for accuracy.
- Update service calls spreadsheets and ensure reports are sent to customers in a standard format.
- Identify and track sensitive orders upon request from distributors or supervisors.
- Assist with stock transfers and equipment distribution to customers and internally.
- Conduct inventory control and coordinate incoming/outgoing goods and stock taking.
- Identify incorrect pricing information in current systems.
- Work with departments on payments, credit limits, and delivery holds, initiating collection efforts on past due accounts and resolving sales invoice discrepancies.
- Maintain and update customer service procedures.
- Answer incoming phone calls and distribute leads and inquiries to Sales and Service teams.
- Assist with product/service disputes and escalate customer issues when necessary.
- Previous experience in a similar customer service role.
- Strong phone handling skills and active listening.
- Strong computer skills and Microsoft Office experience.
- Familiarity with CRM systems and practices is desirable.
- Ability to multitask, prioritize, and manage time effectively.
- Exceptional communication skills for effective internal and external customer interactions.
- Strong organisational skills, attention to detail, and ability to work independently.
- Self-motivated team player with a positive outlook.
- Excellent organisation and prioritising skills, with the ability to plan effectively and use time well.
