We are seeking a highly skilled and organized Site Administrator to join our team at the Mindyarra Maintenance Facility in Dubbo. Reporting to the Contract Delivery Manager, you will provide administrative support to the operations team involved in the Regional Rail Project (RR).
This role is critical in ensuring the smooth functioning and efficiency of administrative tasks related to the project, which aims to replace the ageing regional rail fleet to improve overall service quality.
Key Responsibilities:- Provide administrative assistance to the operations team with various tasks, including documentation, scheduling, and communication.
- Process payroll for the project.
- Lead raising Purchase Orders and subsequent administration of payments and processing for the Regional Rail project.
- Maintain accurate records of project-related documentation, including schedules, contracts, and reports.
- Act as a liaison between different departments and external stakeholders to facilitate effective communication.
- Ensure all administrative activities comply with company policies and project-specific regulations.
- Prepare reports, meeting minutes, and other documentation as required by the operations team.
- Assist with logistics management, including coordinating meetings, site visits, and travel arrangements for the team.
- You will have exceptional organizational skills to manage multiple administrative tasks efficiently.
- Strong written and verbal communication skills are essential to interact effectively with team members and stakeholders.
- A high level of attention to detail is required to ensure accuracy in documentation and record-keeping.
- The ability to proactively identify and resolve administrative issues is crucial.
- Familiarity with office software (e.g., MS Office Suite), SAP or similar systems, and project management tools is necessary.
- Prior experience in a similar administrative role within a large-scale project or the transport sector is preferred.
