About the Role

Mirvac is an Australian property group dedicated to shaping urban life. As a Portfolio Administration Manager, you will play a crucial part in supporting assets across the portfolio, ensuring accurate lease-related information and high-quality data input in all systems.

Your Key Responsibilities
  1. Build strong relationships with asset teams, delivering consistent support and attending meetings as required.
  2. Responsible for accurate data input of all lease-related information and collation of associated documentation.
  3. Achieve 100% accuracy of each asset's Tenancy Schedule.
  4. Achieve > 95% data accuracy in Salesforce.
  5. Perform monthly rent up and invoicing responsibilities for the assets.
  6. Complete all lease outgoing adjustments/estimates and rent reviews for the assets in accordance with lease requirements and relevant state legislation.
  7. Conduct lease audits.
  8. Produce lease-related correspondence to retailers/operators and distribute to the asset teams where required.
  9. Assist the asset teams with Capex-related processes.
  10. Raise work and purchase orders for the assets.
  11. Match supplier invoices for review, approval, and payment for the assets.
  12. Assist with daily receipting and debt collection for the assets.
  13. Assist with month-end procedures in accordance with the finance timetable.
  14. Drive improvements and maximize efficiency of administration-related procedures.
  15. Work collaboratively with national teams to deliver Retail divisional initiatives and contribute to the implementation of the Retail strategy.
  16. Adhere to Mirvac policies and procedures and internal reporting deadlines, providing accurate and high-quality outputs, and quick responses to requests for information about the assets.
  17. Assist with any projects or undertake additional duties as reasonably required.
About You

Ideally, you will have relevant tertiary qualifications, previous experience in a similar role, and demonstrated account reconciliation and administration skills.

A high level of IT proficiency and a strong understanding of relevant legislation and the legal obligations of the asset are also required.

You will be proactive and self-motivated, with the ability to solve problems, have exceptional communication skills, and maintain confidentiality and discretion in relation to asset information.
