The Role

We are in search of a service-oriented and proactive professional to deliver extensive administrative and operational assistance to our team. This diverse position integrates aspects of client relations, scheduling, administration, and reception tasks to ensure seamless operations while clients receive exceptional service.

Key Responsibilities

  • Oversee intricate scheduling requirements, including liaising with clients and Occupational Therapists (OTs) to coordinate ongoing services and address service modification requests.
  • Greet clients, acting as a representative for the organization.
  • Coordinate consultations and provide support to ensure a positive client experience.
  • Facilitate client onboarding, ensuring all necessary documentation and agreements are completed promptly.
  • Assist OTs in optimizing service delivery.
  • Support various projects and initiatives, offering administrative assistance and coordination as required.

Skills and Experience

  • Exceptional interpersonal abilities with a knack for creating a welcoming atmosphere.
  • Demonstrated experience in an administrative support and client-facing capacity.
  • Familiarity with scheduling operations, customer engagement, and reception responsibilities.
  • Strong organizational skills with the capability to manage multiple priorities and deadlines.
  • Meticulous attention to detail.
  • High level of discretion and professionalism in managing confidential information.
  • Ability to work independently and collaboratively in a dynamic environment.
  • Experience with HubSpot is advantageous, though not essential.
