Job Description

We are seeking an experienced Administrative Support Specialist to join our executive office team. The successful candidate will provide high-level administrative support to key executives, focusing on calendar management, correspondence, and coordination of meetings and events.

The role involves managing competing demands on time, prioritizing tasks, and maintaining accurate records. Strong communication skills and attention to detail are essential for this position.

Key Responsibilities
  • Manage electronic calendars, scheduling meetings and appointments as required.
  • Prepare and coordinate agendas, minutes, documents, and other materials for committees and internal meetings.
  • Respond to correspondence and maintain a coordinated filing system on SharePoint.
  • Monitor emails, prioritize/categorize/respond accordingly to ensure responsiveness and information flow.
Required Skills and Qualifications

To be successful in this role, you should have:

  • A minimum of 3 years' experience as an Executive Assistant or similar role.
  • Well-developed presentation and written communication skills.
  • Demonstrated ability to work under pressure and manage competing priorities.
  • Excellent information systems literacy, including Microsoft Teams, SharePoint, and Office.
