Administrative Coordinator for Heavy Vehicle Fleet

Job Description

We are seeking a proactive and organized Logistics/Transport Administrator to support day-to-day management of heavy vehicle fleet, contractors, and logistics administration functions.

This position offers variety - you will work across multiple systems and tasks. We're looking for someone who enjoys juggling priorities, is detail-focused, and thrives in a dynamic environment.

To be successful in this role, you will have had experience using SAP to process payments and Excel.

Key Responsibilities:

  • Manage heavy vehicle, subcontractor drivers, and employee compliance records across multiple systems, including SAP.
  • Process purchase orders, payments, payroll cycles, and contractor payments in SAP.
  • Maintain and update records for vehicle servicing, licenses, E-tags, fuel cards, PPE/uniform orders, and registrations.
  • Track and report fuel usage and manage recharge processes.
  • Support internal and external queries promptly.
  • Ensure accuracy and timeliness of data entry, approvals, and reporting.
  • Contribute to process improvements that enhance logistics efficiency and organization.
Required Skills and Qualifications

We're looking for someone with strong experience with SAP (essential) and high proficiency in Microsoft Excel.

Prior experience in logistics coordination or administration, ideally with payroll responsibilities, is highly regarded.

You will need excellent communication skills with the ability to build positive relationships across all levels.

A highly organized individual with exceptional attention to detail and a proactive, problem-solving approach is ideal.

Experience with contractor management systems is also desirable.

A knowledge of Chain of Responsibility (CoR) obligations is an added advantage.
