**About the Role:**

We're seeking an experienced Administration Coordinator to join our dynamic team. As the face of the business, you'll be responsible for welcoming clients and ensuring a seamless experience from start to finish.

Key responsibilities include:

  • Managing office supplies and maintaining a well-organized workspace
  • Coordinating state-related company events and functions
  • Maintaining client details, leads, and opportunities in CRM systems
  • Data entry and information collation for database updates
  • Supporting marketing initiatives and documentation related to company branding
  • Maintaining project and team member profiles

**Tender Preparation:**

You'll play a key role in the tender process, assisting with project setup, internal checklists, and ensuring all steps are completed in accordance with policies and procedures. Key tasks include:

  • Entering Request for Tender (RFT) into applicable systems
  • Ensuring records of all submissions are saved in correct job files
  • Assisting in tender presentations using Power Point & InDesign
  • Reviewing tenders to ensure all documents are received and correct

**Finance Support:**

Where required, you'll correspond with the national finance team regarding queries related to budgets, payment batches, financial reporting, invoicing, and cashflow.

**Health & Safety:**

You'll take reasonable care for your own health and safety, avoid adversely affecting the health and safety of coworkers, follow company health and safety procedures, attend training sessions, and report hazards and incidents to your manager.

**Requirements:**

  • Three years' experience in office administration/customer service
  • Experience in MS Office and MS Excel
  • Ability to plan workloads with limited supervision, set priorities, and meet deadlines
  • Demonstrated skills and experience in complex software
  • Demonstrated experience in customer service
  • Effective interpersonal and communication skills relevant to duties
  • Proven administration and project support skills
  • System proficiency in Adobe InDesign, Buildlogic, Procore, Hubspot
  • Experience working in the construction industry
