Senior Administrative Officer (SAO)
As a Senior Administrative Officer, you will be responsible for ensuring the smooth operation of our dealerships while delivering exceptional service to our valued customers. Reporting directly to our Toyota Dealership Accountant, your key responsibilities include:
- Banking tasks and maintaining accurate financial records.
- Managing costs for all vehicle sales, ensuring accuracy and timeliness.
- Updating the sales log with vital information such as customer details, vehicle specifications, and payment terms.
- Calculating vehicle profits to maintain accurate financial reports.
- Handling VicRoad transfers for sold vehicles and adhering to regulatory guidelines.
- Assisting in inventory management and sourcing new and used cars.
- Overseeing vehicle registrations, following regulatory requirements.
- Processing vehicle payouts accurately and maintaining thorough records of transactions.
- Utilizing Docusmarts for documentation and submissions.
- Organizing files for easy access to documents.
- Reconciling floor plan statements regularly.
- Conducting regular book reconciliations to maintain accurate financial records.
- Reviewing Citylink statements, checking toll charges, and addressing any issues.
- Managing the COD list to ensure timely and accurate payments.
- Supplier statement reconciliation and scheduling payments.
We are seeking a detail-oriented individual with the following qualifications:
- Previous experience in an administrative role, preferably within a dealership environment. Candidates with dealership experience looking to transition from other departments are also encouraged to apply (training provided).
- Exceptional organizational and multitasking skills with a keen attention to detail.
- Strong written and verbal communication abilities to interact professionally with customers and team members.
- Ability to work autonomously and independently.
- Proficiency in MS Office Suite (Word, Excel, Outlook); knowledge of dealership management systems is a plus.
- Capacity to maintain confidentiality and handle sensitive information with integrity.
- A friendly, positive attitude committed to providing excellent customer service.
- A valid Victorian Driver's License is required.
