Front Office Support Role

We are seeking a highly skilled and organized Front Office Representative to join our team. As a key point of contact, you will be responsible for providing exceptional customer service and administrative support to ensure a smooth and efficient workflow.

The successful candidate will have excellent communication skills, both written and verbal, and be able to work effectively in a fast-paced environment. They will also be proficient in Microsoft Office Suite and have experience with office equipment.

  • Greet and welcome guests, ensuring a positive first impression of the organization
  • Assist visitors with COVID screening and direct them to the appropriate person or area
  • Answer, screen, and forward incoming phone calls in a timely and professional manner
  • Maintain the reception area, ensuring it is tidy and presentable at all times
  • Receive, sort, and distribute mail and deliveries efficiently
  • Monitor and control access to the reception area and maintain office security protocols
  • Order front office supplies and manage inventory levels
  • Update calendars and schedule meetings as needed
  • Manage roster coverage in the event of absences or leave
  • Perform other clerical duties such as filing, photocopying, transcribing, and faxing
  • Provide accurate and timely information to the administration team
Requirements

To be successful in this role, you will need:

  • Proven work experience as a Receptionist or Front Office Representative
  • Proficiency in Microsoft Office Suite and experience with office equipment
  • A professional attitude and appearance
  • Excellent communication and organizational skills
  • A customer-focused approach and ability to multitask
