Office Administrator Job Description

The role of the Office Administrator is to ensure smooth office operations while supporting accurate revenue tracking and reporting. This position requires a proactive, resourceful, and capable individual who can manage both administrative and financial tasks with efficiency and professionalism.

  • Key Responsibilities:
    • Manage daily office operations to maintain a productive and professional work environment
    • Assist with preparation, maintenance, and distribution of regular operational and revenue reports as directed by the Revenue Manager
    • Coordinate new staff orientation, including preparing workstations and onboarding resources
    • Act as the primary point of contact for office-related issues and communications
    • Ensure compliance with company policies, health and safety regulations, and office standards
    • Support monthly Hospital Casemix Protocol (HCP) reporting processes
    • Assist with billing and debtor data entry
    • Maintain accurate and up-to-date financial records in relevant systems
    • Liaise with internal stakeholders to resolve billing and revenue discrepancies
    • Oversee office supply inventory and staff amenities including kitchen and stationary items
  • Required Skills and Qualifications:
    • Experience in office administration and/or finance support roles
    • Experience in revenue administration, billing, or accounts receivable
    • Strong organisational and time management skills
    • High attention to detail with strong data accuracy
    • Excellent written and verbal communication skills
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
    • Confidence navigating multiple software packages
    • Ability to work both independently and collaboratively within a team
    • Experience working in a fast-paced team environment
