Job Title:
Administration and Construction Support Specialist
This role presents a unique opportunity to join a rapidly growing construction business in Toowoomba. We are seeking an experienced administrator with expertise in the building industry to drive our operations forward.
Key Responsibilities:
- Provide high-level administrative support to senior management, focusing on task coordination and process optimization.
- Maintain impeccable organization skills, prioritizing tasks to meet stringent deadlines and ensuring seamless workflow.
- Assist with scheduling, bookings, and other essential tasks as needed.
- Develop effective communication strategies to engage with various stakeholders, including tradespeople, clients, suppliers, employees, and owners.
- Support sales efforts by generating customer quotes, contracts, follow-ups, and general inquiries.
- Perform general office duties, travel arrangements, and complete necessary documentation.
- Prepare Safe Work Method statements and lodge form certifications related to the building and construction industry.
- Schedule, track, and coordinate jobs while maintaining consistent communication with clients and staff.
- Manage contracts, variations, and other essential documentation.
- Familiarity with Xero, Builder Trend, and advantageous knowledge of Buildxact.
- Proficiency in Microsoft 365, including Outlook, Excel, Word, Teams.
- Daily reporting of activities.
- Adherence to Workplace Health and Safety requirements and understanding.
Requirements:
- Proven experience in a similar role within a fast-paced, family-owned business environment.
- Exceptional time management skills with the ability to prioritize and manage multiple tasks effectively.
- A self-motivated individual capable of working autonomously in a dynamic setting.
- Ability to remain focused, adaptable, and detail-oriented under pressure.
- Building industry knowledge and experience required.
- Attention to detail is paramount.
- Workplace Health and Safety legislation knowledge is highly desirable.
