Asset Operations Specialist

We are seeking a skilled professional to support the smooth and efficient operations of our portfolio of assets.

The successful candidate will work closely with Maintenance Managers and the Senior Facilities Manager to ensure that all maintenance, repairs, and service requests are actioned and resolved in line with service level agreements.

The role involves creating Work Orders and Purchase Orders for contracts and ad-hoc works, managing and tracking turnover capex across the portfolio, and accurately reviewing contractor invoices and reconciling with contract Purchase Orders.

Additionally, the candidate will assist the Senior FM in the management of contractors and service providers, scheduling contractor meetings, preparing agendas, taking minutes, and document filing.

The ideal candidate will have 2+ years of experience in high-volume customer-facing, operational or administrative roles, with a demonstrated ability to deal with customer complaints and solve problems with positive results.

The successful candidate will possess a customer-centric focus, excellent organisational skills, and the ability to prioritise work effectively, ensuring deadlines are achieved on time.

They will also be proactive and self-motivated, with the ability to adapt to change, deal with ambiguity and complexity, and improve system and process efficiencies and effectiveness.

Key responsibilities include:

  • Providing an exceptional customer experience by building strong relationships with key stakeholders (internal and external) and ensuring a high level of communication
  • Contributing to meeting the objectives of the Strategic Asset Plan for the asset(s)
  • Creating and maintaining procedures for the Maintenance Managers and Senior Facilities Manager
  • Ensuring accuracy of data across all systems to deliver insights and support data-led decision making
  • Maintaining accurate and consistent documentation and filing practices across the portfolio of BTR assets
  • Supporting the on-site Maintenance Managers and the Senior Facilities Manager with systems training as required
