About the Role

We are seeking an experienced Administrative Support Professional to join our team at the Southern Melbourne (Hallam) Hub. As an Administrative Support Professional, you will play a vital role in ensuring the smooth operation of our administration team.

Key Responsibilities
  1. Utilize scheduling systems to coordinate therapy sessions, ensuring seamless alignment with participant plans and practitioner availability.
  2. Reschedule sessions as needed due to participant or practitioner unavailability.
  3. Onboard new participants, providing clear explanations of our service delivery model and setting expectations for collaboration.
  4. Conduct thorough risk assessments over the phone, accurately recording identified risks to maintain a safe environment for therapists and participants.
  5. Maintain accurate Service Agreements for participants.
  6. Attend weekly team meetings to share impact stories and collaborate with colleagues.
  7. Collaborate with the administration team to efficiently complete tasks across the area.
  8. Deliver exceptional customer service via phone, in-person, and email, prioritizing participant experience.

Requirements
  1. Proven experience with scheduling or rostering systems.
  2. 2-3 years of administration experience with a customer service and relationship-building focus.
  3. Demonstrated proficiency in managing client databases and practice administration systems (experience with Salesforce is advantageous).
  4. Strong customer service skills, prioritizing participant satisfaction and exceeding expectations.
  5. Ability to work with a sense of urgency, set clear priorities, and focus on task completion.
  6. Attention to detail and commitment to accuracy.
  7. Positive team player, contributing to the team's objectives and success.
  8. Problem-solving attitude, embracing challenges and growth opportunities.
  9. Ability to adapt to change, taking feedback and growing skills.
  10. Experience in the NDIS/Disability sector is desirable but not essential.
Pre-Employment Requirements

Before commencing, you will need to obtain a Working With Children's Check and NDIS Workers Screening Check.
