Job Overview

Position Summary:

The Project Administrator plays a crucial role in ensuring seamless coordination of personnel and project-specific administrative tasks. This position involves close collaboration with the project team across various levels. The Project Administrator will be stationed on-site, operating on either a 14:7 roster or a 5:2 roster for local assignments. Key responsibilities include:

  • Facilitate the mobilization of all site personnel, including arrangements for travel and accommodation for project staff.
  • Manage camp capacity limits and maintain effective communication.
  • Oversee the compilation and management of weekly timesheets for payroll, ensuring accurate data collation and coding.
  • Support the project team with procurement activities as needed, including generating purchase orders, coding invoices, and ordering supplies for site offices.
  • Provide general administrative support as directed by the Project Management Team.
  • Assist with financial reconciliations, including Visa Card statements and receipting, while supplying necessary information to Accounts Payable for processing.
  • Maintain and manage various spreadsheets and reporting data in accordance with project requirements.
  • Assist with additional site duties as necessary, including transporting equipment to the job site and performing other tasks as directed by the Superintendent, ensuring all documentation for daily work is verified and received.
Candidate Profile

Qualifications and Skills:

The ideal candidate will possess strong communication skills, a proactive approach, and a focus on results and timelines. The successful applicant will have the following qualifications:

  • Certificate IV in Business Administration (preferred).
  • Construction card.
  • Industry Safety Induction certification.
  • Unrestricted C Class Driver's License.
  • Relevant experience in a similar role.
  • High proficiency in Microsoft Office; experience with Jobpac is advantageous.
