RACS supports healthcare and surgical education in the Asia-Pacific region and is a significant funder of surgical research. Our expertise spans nine surgical specialties: Cardiothoracic Surgery, General Surgery, Neurosurgery, Orthopaedic Surgery, Otolaryngology Head and Neck Surgery, Paediatric Surgery, Plastic and Reconstructive Surgery, Urology, and Vascular Surgery.
Job DescriptionThe Executive Officer for Paediatric Surgery will be responsible for effectively managing the Paediatric Surgical Education and Training program in Australia and Aotearoa New Zealand. This role involves coordinating activities in line with relevant regulations, policies, procedures, and timelines, including selection, assessment requirements, hospital accreditations, and documentation needed for committee meetings.
Reporting to the Manager, SET, key responsibilities will include:
- Providing executive-level administrative support, including drafting reports and correspondence for the Committee Chair and Members.
- Offering secretariat support for the Committee, including agendas, minutes, and action lists.
- Maintaining accurate records of SET Trainees' clinical and assessment requirements, monitoring progress, and identifying areas for improvement.
- Assigning tasks, ensuring the Committee remains informed about important matters.
- Providing guidance on policies and procedures to inform Committee decisions.
- Preparing and maintaining records and correspondence, adhering to legal guidelines and regulatory requirements.
- Accurately reporting data and information to external and internal bodies.
- Assisting with budget planning, scheduling activities, and special projects as required.
- Maintaining financial records and monitoring budget performance.
- Updating web content and pages as necessary.
- Coordinating Hospital Accreditations and meetings/events.
- Developing processes, initiatives, documents, policies, and regulations as needed.
- Serving as a point of reference and providing support to current Paediatric Trainees.
- Liaising with other RACS Specialty Training Board/Committees, Regional Offices, Specialty Organisations, and Government bodies.
- Providing training, guidance, and support to RACS staff to ensure effective team operation.
This full-time position can be based in Melbourne or Sydney on a maximum term basis for 12 months. Occasional evening and weekend work may be required for committee meetings and events, potentially involving interstate travel.
RequirementsTo succeed in this role, you should possess:
- Excellent administration skills, preferably in an Executive Officer position.
- Strong communication skills, both written and verbal, with the ability to produce formal correspondence, reports, agendas, and minutes.
- High organisational and time management skills, enabling you to meet deadlines and prioritise tasks effectively.
- A high attention to detail and accuracy in data entry.
- Confidence in working within a complex environment with multiple stakeholders.
- The ability to successfully work in a team environment.
- Intermediate proficiency in MS Office Online Skills, including Teams.
- Previous experience working in a medical college is desirable.
