Our opportunity

As the Analyst, Investor Relations Operations, you will support the Wholesale Capital team in delivering high-quality investor servicing and operational support. The role will focus on maintaining accurate investor records, coordinating onboarding and compliance processes, and assisting with the preparation of investor communications and reporting, helping Mirvac Funds Management achieve its strategic objectives.

Your responsibilities will include:

Investor Servicing

- Assist in preparing onboarding and offboarding packs, ensuring documentation is complete and accurate.
- Support the updating of investor details across registry systems, CRM, and internal spreadsheets.
- Prepare draft registry instructions for review before submission to external providers.
- Assist in the collation of responses to investor due diligence requests (DDQs, RFIs, ODDs) by coordinating with internal subject matter experts.
- Distribute standard investor communications (e.g. distribution notices, unit statements, reporting packs) and maintain accurate contact lists.

Information & Data Management

- Maintain investor records to ensure accuracy across CRM, registry, and internal tracking systems.
- Upload, tag, and organise documents in the virtual data room, ensuring correct access rights are applied.
- Support reconciliation activities, including registry vs. finance data checks and distribution records, for review by the Investor Services Manager.

Governance & Compliance

- Collate and escalate investor KYC/AML documents to Group Compliance.
- Assist in preparing materials for GS007 and internal audit reviews.
- Follow standard operating procedures and escalate issues when identified.

Process & Continuous Improvement

- Maintain and update process notes, checklists, and standard operating procedures.
- Provide feedback on gaps or inefficiencies to support process improvement initiatives.

Team Support & Coordination

- Assist with the preparation and coordination of investor reporting cycles and meetings.
- Log incoming investor queries in the CRM system, escalating to the Investor Services Manager as needed.
- Liaise with Finance, Legal, Compliance, and other teams to ensure investor information is accurate and aligned across systems.
- Provide administrative and operational support to the Investor Services Manager and the wider Wholesale Capital team.

Your point of difference

You will have demonstrated experience in funds administration, custody, registry, or a graduate background in audit or administration services; as well as proficiency in Microsoft Excel with strong data entry and document management skills.

You will be highly organised with strong attention to detail and a process-driven mindset and have the ability to follow compliance frameworks and standard operating procedures, with a focus on accuracy and timely escalation of issues.
