About the Role
Reporting to the Coordinator Information Transformation, you will play a key role in advancing Council’s digital transformation, including the migration of physical records to digital platforms and the optimisation of systems such as Content Manager and SharePoint. You will also provide user support and informal training to staff, maintain the integrity and security of Council’s information assets, and ensure compliance with relevant legislation and standards, including but not limited to the Local Government Act 2020 (VIC), Public Records Act 1973 (VIC), and Privacy and Data Protection Act 2014 (VIC).
You will be responsible for:
- Ensuring accurate capture, classification, registration, and indexing of Council records using approved metadata and business classification standards.
- Supporting compliance with legislative and regulatory frameworks including the Public Records Act, Privacy and Data Protection Act, and Local Government Act.
- Managing the retention, disposal, and transfer of records in accordance with approved disposal authorities and Council procedures.
- Assisting with the migration of physical records to digital platforms and supporting the optimisation of systems such as Content Manager and SharePoint.
- Conducting audits, data cleansing, and validation activities to maintain the integrity and reliability of Council’s information assets.
- Administering and maintaining EDRMS configurations including permissions, security groups, and workflows.
- Providing user support and informal training to staff on recordkeeping practices and system use.
- Identifying and implementing opportunities for continuous improvement in information management processes, tools, and compliance.
- Ensuring information assets are secure, accessible, and trustworthy to support informed decision‑making and operational efficiency.
Key Selection Criteria
To be successful in this role, you will bring the following skills and competencies:
- Proficiency in Electronic Document and Records Management Systems (EDRMS), preferably Content Manager, and Microsoft 365.
- Sound knowledge of relevant legislation, including the Public Records Act, Privacy and Data Protection Act, and Local Government Act.
- Experience applying classification and indexing standards using a Business Classification Scheme.
- Ability to support digital transformation initiatives and contribute to continuous improvement of information management practices.
- Strong communication skills, with the ability to support staff and maintain confidentiality.
- Well‑developed judgement, initiative, and time management skills.
- Certificate IV or higher in Records/Information Management is desirable, or equivalent experience.
- Experience working in local government or a similar environment is also desirable.
Mandatory pre‑employment requirements
- Be willing to undergo and complete a satisfactory criminal history check.
- Provide or obtain an employment‑based Working with Children check.
