As an investment Executive Assistant, you’ll support leaders across the Portfolio Design and Portfolio Asset teams, playing a key role in a fast-paced, high-stakes environment. This is a role for a proactive, resourceful professional who thrives under pressure, handles confidential matters with discretion and brings polished executive support skills to every interaction.***Key Responsibilities**** Email & Diary Management: Action, filter, prioritise, and file emails; plan and coordinate meetings; perform administrative duties to ensure team efficiency.* Project Support and Coordination: Contribute to project management; follow through on tasks to achieve deadlines; prepare and distribute meeting materials; reconcile credit card payments and invoices; produce documents; support ongoing team operations.* Travel Arrangements: Organise domestic and international travel, balancing cost-effectiveness and compliance with internal policies; ensure the preparation of all appropriate travel documentation.* Filing and Database Management: Implement and improve electronic filing systems to optimise data usage and workflow.* Relationship Management: Build deep knowledge of key internal and external relationships; foster trust and effective communication.* Executive Support Team Responsibilities: Collaborate with the Investment Executive Support Team and proactively contribute to the wider Executive Support Team.***About You***You will bring to the role:* Experience as an executive assistant, ideally in investment or financial services.* A proven ability to work in a busy office, adapt to daily challenges and meet deadlines.* Previous experience managing complex domestic and international travel.* Willingness to engage with investment sub-teams to understand priorities.* Strong interpersonal and communication skills; the ability to build professional relationships at all levels.* Advanced knowledge of Teams, Outlook, Word, PowerPoint, and proficiency in Excel.* Collaboration, consultation skills and emotional intelligence.* Effective written and verbal communication skills, the ability to adapt content to different audiences.* The ability to act as a self-starter who operates independently, takes ownership, and strives for accuracy and high-quality outcomes.* A certificate in Office Administration or equivalent is desirable but not required.Please note that this opportunity is only open to Australian Citizens.***We Are For Everyone***At Future Fund, we are better for our differences.
