About the role

Bid Administrator

Reporting to the Vice President - Strategy & Growth you will be responsible for the coordination and preparation of proposals documents for DRA APAC region, ensuring timely submission of high-quality proposals that support the securing of new business and to develop and maintain the supporting information, systems and databases.

The role is offered on a permanent full-time basis at our Brisbane CBD office. The role may also suit a strong Project Administrator/Coordinator.

Brief Duties

- Assist in coordinating and facilitating proposal kick-off meetings, outlining proposal requirements, timelines, and assignments for team members
- Collaborate with technical subject matter experts to gather technical information and develop proposal content
- Compile and organise proposal content, ensuring consistency, clarity, and compliance with client specifications, formatting guidelines, and proposal templates
- Edit and proofread proposal drafts to enhance readability, accuracy, and alignment with proposal strategy, win themes, and client needs
- Maintain version control of proposal documents, manage document repositories, and ensure all proposal materials are accurate, complete, and up to date
- Coordinate the assembly and packaging of proposal documents, including cover letters, executive summaries, attachments, and appendices
- Coordinate proposal reviews and revisions, facilitating feedback from internal stakeholders, management, and technical subject matter experts
- Ensure adherence to proposal submission deadlines, monitor proposal progress, and provide regular updates on milestones and deliverables
- Ensure compliance with proposal requirements, including completeness of forms, adherence to submission guidelines, and inclusion of all required documentation
- Coordinate logistics for proposal submission, including preparing submission packages, completing forms, and organising delivery methods
- Maintain accurate records of proposal activities, communications, and outcomes in proposal tracking systems or databases
- Generate reports and metrics related to proposal activities, submission outcomes, win/loss analysis, and lessons learned to support continuous improvement

About you

- A minimum of 2 years' experience in a similar role
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and experience with proposal management software or tools is advantageous
- Excellent written and verbal communication skills, with proficiency in editing, proofreading, and understanding technical information
- Strong organisational skills with the ability to manage multiple tasks and priorities effectively in a deadline driven environment
