Position Overview:

We’re seeking a proficient Project Coordinator, reporting to the Head of Delivery to become an integral part of our dynamic project team. This role is crucial for the smooth operation of the project team and providing support across all project aspects.

What you will be doing:

- Supporting the project team in the delivery of general administration duties such as the issue of access cards, preparation of agendas and minutes.
- Coordinate between various projects and Project Managers allocating employees and resources.
- Checking and ensuring timesheets are submitted on time for payroll processing.
- Mobilisation of employees and contractors to project site.
- Subcontractor onboarding and offboarding.
- Assisting management in the creation of reports such as project delivery plans, monthly status reports, financial and schedule updates as well as client reports.
- Organising travel and accommodation bookings.
- Handling finance and procurement duties, including raising and receipting purchase orders, coordinating transport and logistics, obtaining quotes and sourcing materials.
- Ensure contract and documentation requirements are adhered to.
- Reviewing work orders and scope of works.
- Attending client kick off meetings, where required.
- Ensuring the project team meets deadlines and deliver project milestones on time.
- Setting up and maintaining project management and document management systems.

What we are looking for:

- 2 years’ experience in a similar position.
- Organisational skills within a fast-moving dynamic environment.
- Strong financial analysis skills and a focus on administration.
- Proven ability to prioritise tasks, meet deadlines, and manage time efficiently.
- Proficiency in Microsoft word, excel, outlook and projects.
- Experience with developing workflows and tracking systems including change management, vendor equipment delivery and document control.
- Experience updating and maintaining data including milestone dates, RFI’s, design changes, and change orders in project management software.
