Overview
We are seeking a highly capable and detail-oriented PA/Team Coordinator to join a leading executive search firm, based in Melbourne
- Collins Street, Melbourne (hybrid)
- $40-45 hour + Super
- Immediate Start until 31st January with potential to go permanent
About the role
As a Team Administrator/Personal Assistant, you will be supporting two senior Partners—one based in Melbourne and one in Sydney—within a leading executive search firm specialising in high-level government appointments (CEO to Director level).
Key Responsibilities
- Provide executive support across two Partners and their teams
- Manage diaries, travel, and coordinate candidate/client meetings
- Format and manage the full lifecycle of search documentation: proposals, follow-up letters, shortlist reports, ministerial reports
- Liaise with clients, candidates, and psychometric consultants
- Coordinate boardroom events, psychometric testing, and client briefings
- Assist with business development activities including mailouts and client outreach
- Interface with research team to support search projects (no research required)
- Maintain CRM/database records (Invenias), manage unsolicited CVs and pro bono career calls
- Ensure high standards of accuracy and presentation across all documentation
Ideal Candidate Profile
- Strong PA/administrative experience in a corporate or consultancy environment
- Experience in government or NFP sectors highly regarded
- Exceptional attention to detail and document formatting skills
- Professional communication style with ability to engage senior stakeholders
- Comfortable working across teams and locations (Melbourne & Sydney)
- Advanced MS Office skills; familiarity with CRM systems
- Knowledge of system called Invenias would be highly beneficial
- Confident managing multiple priorities and working independently
Work Conditions & Culture
- Hybrid Work: Tuesday through Thursday in office; Monday & Friday WFH (flexible)
- Hours: 9am–5pm (occasional extension to 5:30–6pm)
- No police checks or clearances required

Casual Loading
Please note for all Australian based contract and temporary roles only, the pay rate is inclusive of mandatory 25% casual loading. This excludes permanent and fixed term roles.
