Role

The Careers Assistant will provide administrative support to the Careers and Pathways and VETDSS Program. The assistant will undertake administrative duties that may include: data entry, word processing, answering phones, directing inquiries, filing, maintaining required documentation for compliance, following up on paperwork with students and families and making emails and phone calls to families, students, employers and associated stakeholders in regard to VETDSS, Careers, Pathways, Jobs, Work Experience, apprenticeships and/or SWL.

Responsibilities

Administrative Support for VETDSS Program:

- Monitor VET email inbox for emails specific to contracts, at risk students and attendance and any other matters arising from stakeholders and action accordingly.
- Monitor VET attendance including updating an attendance spreadsheet and Compass.
- Implement VET at-risk process for students at risk including speaking to students and making parent phone calls for at risk students and referring to VET Coordinator or House Leader for further meetings if required.
- Assist VET Coordinator with applying and enrolling students into VET Certificates (including SBAT's and Higher-level certificates) using the SELLEN VET cluster portal, Chisholm, Holmesglen, Box Hill and other RTOs and TAFEs. Follow up with students and families for all required paperwork.
- Process VET invoices including making purchase orders and following up with RTOs on VET fees.
- Liaise and communicate with students on VET courses including choosing a VETDSS course or changing VETDSS courses with a referral to VET Coordinator if further counselling required.
- Process VET purchasing contracts with RTOs and TAFE providers.
- Attend SELLEN VET Cluster Meeting twice a term as required.

Administrative Support for Careers and Pathways:

- Assist students with job searching including creating resume and cover letters and part-time work advice. Assist students with applying for part-time work.
- Assist with the organisation, administration and implementation of key Career events including the Carwatha Careers Expo, Year 10 Mock Job Interviews, Year 10 Work Experience, Year 9 Morrisby and internal and external tertiary events and excursions alongside the Careers Coordinator.
- Ensure and update student records and follow administrative processes for exiting students including the DE exemption from school process, ensure pathways meet ministerial requirements and monitor student destination as per the Regional Director's conditions twice a year (March and September) including updated CASES21 with Destination Data.
- Assist the Careers Coordinator with Year 7 - 12 careers counselling (within professional capacity) with an interest in expanding scope of work through professional development.
- Structured Workplace Learning: Assist VCE VM and VCE students with organising structured workplace learning including making phone calls to source SWL employers, preparing paperwork, data entry on Compass, safe@work certificates and ensuring all legislation is completed. Checking on student during SWL and making a site visit as necessary.
- Work Experience: Assist Year 10 students (and potentially other year levels as required) with sourcing work experience including making phone calls and emails to employers, preparing paperwork, ensuring safe@work certificates are completed and visiting students on Work Experience.
- HEAD START and School-Based Apprenticeships: Assist the Head Start Coordinator with paperwork and administrative processes to ensure students can start their apprenticeships in a timely manner. Assist with enrolment and administration with external SBAT organisations.
- Attend DVCEA and other career meetings offsite as required. Participate in tertiary provider professional development opportunities to develop professional capacity in career education when opportunities arise.
- Perform further administrative functions as directed by the Careers Coordinator and Principal Team as necessary.
