The Senior Administration Officer (BAPs) plays a key role in this effort by providing high-quality day-to-day customer service and administrative support to the operational functions of the Customer and Business Support Unit. This role also undertakes key responsibilities related to the Better Approvals Process (BAPs), parklets, and associated portfolios — including, but not limited to, outdoor dining processes and related support within City Development. About the Role
The Senior Administration Officer (BAPs) is responsible for delivering day-to-day customer service and administrative support, primarily to assist the operations of the Customer and Business Support Unit. The role also undertakes key responsibilities related to the Better Approvals Process (BAPs), Parklets, and the associated portfolio – including, but not limited to, outdoor dining processes and related support within the City Development Department. The Senior Administration Officer (BAPs) reports directly to Coordinator Customer and Business Services – City Development. This Business Unit provides administrative and customer support to the City Development Department, which includes Planning, Building, Health services.
Responsibilities
- Provide prompt and efficient customer service, administrative and clerical support.
- Ensure accurate and up to date records are maintained for business transactions conducted by the Department.
- Provide advice to the public and Council staff on procedural and administrative tasks primarily relating to business permits, particularly focusing on BAPs and its related portfolio.
- Contribute to building effective relationships by promoting a positive image, having regard to Council protocols.
- Undertake more complex administrative and reporting tasks, as well as support for other members of the unit.
- Provide clear, concise and accurate information about what is required to get a permit.
- Coordinate and work with a diverse range of stakeholders including staff, professionals, and members of the public to facilitate and support high quality customer outcomes.
- Contribute to and identify continuous improvement activities.
Skills & Experience
- Qualification and/or demonstrated experience in business or a related field applicable to work within a local government environment.
- Experience in the local government sector.
- Well-developed skills in administrative practices.
- Well-developed analytical and problem-solving skills, with the ability to investigate issues and identify effective solutions.
- High level of attention to detail.
- Proficiency in the use of IT systems including Pathway, GIS and the Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Ability to work with a diverse range of people including staff, professionals and members of the public in pursuit of departmental objectives.
- Sound communication skills, both verbal and written.
- Identifying and implementing process improvements (advantageous but not required).
