Stake is looking for an Executive Assistant/Office Manager to join us at our new CBD office. We are open to this role being part-time (4 days), in the office.

About this role
We are looking for a ruthlessly organised Executive Assistant/Office Manager to provide a high level of strategic and administrative support to our Executive Founder as well as manage the office. You will proactively act as a key advisor, project manager, and operational leader, ensuring our office runs efficiently while enabling our Executive Founder to focus on core business growth.
Your days will be diverse, ranging from managing our Executive Founder’s diary, company-wide travel to overseeing office logistics and fostering a positive team environment. You are a natural problem-solver with a strong ability to anticipate needs and execute flawlessly.
Further responsibilities include:
- Executive Advisory: Act as a strategic partner to the Co-Founder, preparing briefing materials, conducting research, and serving as a key liaison for internal and external stakeholders. You will manage the Executive Founder’s diary, and ensure they are focused on high-impact initiatives.
- Operational Management: Oversee the day-to-day operations of the Sydney office. This includes managing vendor relationships, coordinating office supplies, meeting room set-up for external meetings and ensuring a clean, safe, and productive work environment. You will be the go-to person for all things related to the physical office space.
- Administrative Excellence: Provide comprehensive administrative support, including complex calendar and inbox management, company-wide travel coordination, expense reporting, and the preparation of confidential reports and presentations.
- Project and Event Coordination: Lead and manage special projects and initiatives. You will also support the Learning & EX Manager in planning and executing company-wide events, team off-sites, and key leadership meetings, ensuring all logistics are seamless.
A bit about you
- Proven Experience: A minimum of 5 years of experience in an Executive Assistant and/or Office Manager or similar high-level support role.
- Strategic Mindset: The ability to think proactively, anticipate challenges, and provide solutions before being asked.
- Exceptional Communication: Outstanding written and verbal communication skills, with a professional and discreet demeanor. You can confidently liaise with all levels of an organisation, from junior staff to C-suite executives and external clients.
- Organisational Skills: Unmatched attention to detail and a natural ability to manage competing priorities in a fast-paced environment.
- Problem-Solving: A resourceful and resilient approach to navigating complex and time-sensitive situations.
- Technical Proficiency: Advanced knowledge of the Google Suites and strong capability with Google calendar management and project management tools.
