Role
The College Administration Leader is responsible for the daily oversight of key operational areas, including Human Resources, Finance, and Student Records/Attendance. This leadership role drives the development, implementation, monitoring, and evaluation of college administrative functions to ensure the effective delivery and coordination of high-quality educational services through proficient administrative systems and processes.
This includes oversight of school compliance, policies, frameworks and identifying and developing professional learning opportunities for the administrative team. The role plays a key part in ensuring a positive experience for our students, staff and community. The College Administration Leader will champion the school¿s vision and values while cultivating a respectful, inclusive, and positive workplace culture.
This is a Full Time position- 1.0 Time Fraction. Hours are 8:00am to 4:06pm (negotiable). School Holiday attendance may be required for up to 6 days across the year.
Responsibilities
Specific Responsibilities
- Provide strategic support and day-to-day management of the administrative team to ensure a professional, collaborative, and high-performing workplace culture.
- Develop, update and implement administration processes, policies & procedures in line with DET guidelines.
- Identify and develop professional learning opportunities and facilitate performance reviews with the administrative teams.
- Lead the operations of the school office to ensure efficient, effective, and service-oriented administrative support for staff, students, and families.
- Manage office timetables, rosters, and workload allocation fairly and effectively.
- Support conflict resolution and promote open communication channels.
- Ensure staff follow policies, codes of conduct, and safeguarding requirements.
- Mentor the growth and development of the administrative team
- Support the development of the annual school budget in consultation with leadership
- Oversight of daily financial management and record keeping.
- Monitor revenue and expenditure to ensure alignment with strategic priorities and DET guidelines, including identifying, investigating and rectifying coding anomalies.
- Approve and track purchase orders.
- Secure funding through grants, sponsorships, or partnerships where possible.
- Facilitate contract and insurance management.
- Ensure financial transparency, accountability, and compliance with auditing requirements.
3. Compliance & Governance
- Ensure adherence to DET regulations, policies, and school council directives.
- Oversee administrative, student, staff, wellbeing, and child safety compliance.
- Ensure the accurate maintenance of school records (attendance, enrolment, incident reports, etc.).
- Manage compliance reporting and retention periods(e.g., annual reports, census data, audits).
- Update and monitor for DET policy updates and develop supporting processes
- Oversee privacy and data protection in handling student and staff records.
4. Human Resources (HR) Requirements
- Provide oversight of human resource functions including recruitment, onboarding, induction and termination procedures.
- Ensure compliance with industrial awards, workplace agreements and HR related policies
- Support the processing of staff leave and entitlements while ensuring the accuracy of HR records
- Maintain and promote confidentiality within the HR team
- Provide oversight of the student records and attendance team to ensure efficient and accurate data management
- Maintain accurate and secure management of student and staff records in accordance with regulatory requirements and school expectations.
- Oversight of 6-7 Transition process ensuring compliance with DET timelines.
6. General

- Perform other duties as delegated by the principal.
- Provide records and data for annual evaluation and feedback to the principal and school leaders on areas for improvement.
- Oversee yearly planner for the administrative teams.
- Ensure timely and clear communication with staff, students, and the college community using approved templates and guidelines.
