We are looking to recruit a part-time Receptionist to join our highly effective reception team. The successful candidate will be patient focussed, providing a first class level of service to our patients, well organised and a great team player with strong interpersonal skills.
Hours: Approximately 20 hours per week although additional hours will be required to cover annual leave or sickness.
This is an essential role helping to provide a welcoming and professional service to patients, staff and visitors to the practice.

Main duties of the job
You will provide effective and efficient reception services in a professional and courteous manner. We are looking for an enthusiastic, motivated person who thrives in a busy working environment and enjoys dealing with members of the public. You will be the first point of contact for patients, on the telephone and in person, handling all enquiries efficiently and courteously.
About us
Saxon Spires Practice is a large, rural dispensing practice situated to the north of Northampton. We have 8 partners, 4 salaried GPs and 1 long term locum providing care for 16,500 patients across 2 sites - Guilsborough and Brixworth, and the surrounding villages.
We are a teaching practice and have GP Registrars, Foundation Doctors and medical students under supervision of our GP Trainers.
In additions to the Doctors we have an excellent Nursing Team across both sites. The 0-19 Team is resident at our Guilsborough site.
There is also an independent pharmacy on site at Guilsborough.
Job responsibilities
Thepurpose of the role is to:
Offer general assistance to the practice team andproject a positive and friendly image to patients and other visitors, either inperson or via the telephone
Receive, assist and direct patients in accessingthe appropriate service or healthcare professional in a courteous, efficientand effective way
Undertake a variety of administrative duties toassist in the smooth running of the practice, including the provision clericalsupport to clinical staff and other members of the practice team
Facilitate effective communication betweenpatients, members of the primary health care team, secondary care and otherassociated healthcare agencies
Duties andresponsibilities:
Theduties and responsibilities to be undertaken by members of the practiceadministration team may include any or all of the items in the followinglist. Duties may be varied from time totime under the direction of the senior receptionist/practice manager, dependenton current and evolving practice workload and staffing levels:
Opening up/locking up of practice premisesand maintaining security in accordance with practice protocols
Maintaining and monitoring the practiceappointments system
Processing personal and telephone requestsfor appointments, visits and telephone consultations, and ensuring callersare directed to the appropriate healthcare professional
Taking messages and passing on information
Filing paperwork
Computer data entry/data allocation andcollation; processing and recording information in accordance withpractice procedures
Initiating contact with and responding torequests from patients, other team member and associated healthcareagencies and providers
Clearing and re-stocking of consulting roomsas required
Providing clerical assistance to practicestaff as required from time to time, including word/data processing,filing, photocopying and scanning
Ordering, re-ordering and monitoring ofstationery and other supplies
Provision of refreshments for staff andvisitors as required; loading and emptying the dishwasher and keeping thekitchen area clean and tidy
Keeping the reception area, notice-boards andleaflet dispensers tidy and free from obstructions and clutter

In the course of seeking treatment, patientsentrust us with, or allow us to gather, sensitive information in relationto their health and other matters.They do so in confidence and have the right to expect that staffwill respect their privacy and act appropriately
In the performance of the duties outlined inthis job description, the post-holder may have access to confidentialinformation relating to patients and their carers, practice staff andother healthcare workers. They mayalso have access to information relating to the practice as a businessorganisation. All such information from any source is to be regardedas strictly confidential
Informationrelating to patients, carers, colleagues, other healthcare workers or thebusiness of the practice may only be divulged to authorised persons inaccordance with the practice policies and procedures relating toconfidentiality and the protection of personal and sensitive data
Health & safety:
The post-holder will assist inpromoting and maintaining their own and others health, safety and security asdefined in the practice health & safety policy, the practice health &safety manual, and the practice infection control policy and publishedprocedures. This will include:
Using personal security systems within theworkplace according to practice guidelines
Identifying the risks involved in workactivities and undertaking such activities in a way that manages those risks
Making effective use of training to updateknowledge and skills
Actively reporting health and safety hazardsand infection hazards immediately when recognised
Keeping own work areas and general/patientareas generally clean, assisting in the maintenance of general standardsof cleanliness consistent with the scope of the job holders role
Demonstratedue regard for safeguarding and promoting the welfare of children.

Person Specification
Qualifications
- GCSE grade A to C in English and Maths ( C or above) or equivalent
- Reception or customer care experience
- Telephone and IT skills
- Previous experience of working in GP Surgery or Hospital
- Have previously used EMIS
