Your new company
An Australian wide banking firm is looking for an Executive Assistant to join their team. This company values the planet and aims to create 0 net emissions by 2030, they would like an Executive Assistant that aligns with their beliefs.

This role is a permanent, full time in the office (with potential to work from home 1 day a week) working from their Collingwood office.

Your new role
This will be a busy, fast-paced environment that offers a lot of variety and opportunity for growth. As the Executive Assistant you will be supporting the CEO with his busy diary management & travel arrangements, along with supporting the executive team with travel arrangements and other general ad hoc tasks.

Your role will include but not limited to:

- Being a point of contact for the Managing Director and Executive managers.
- Managing a wide range of priorities from multiple senior stakeholders.
- Coordinating travel arrangements on behalf of the Managing Director and Executive managers including booking airfares, hotels, taxis/cars and preparation of travel itineraries.
- Managing approvals for expense reimbursements on behalf of the Managing Director and Executive managers, credit card monthly statements and invoices.
- Coordination of all of the Executive Committee meetings including publication of the Committee papers to the electronic portal.
- Preparation of business documents including correspondence, memos, reports, minutes, agendas and papers.
- Coordinating, collating and distributing documentation in preparation for both internal and external meetings.
- Preparing PowerPoint presentations and spreadsheets.
- Preparing monthly reporting as required.
- Coordinating functions and catering.
- Provide assistance and support to the Administrative Support Officer and Company Secretary in preparation for the Annual General Meeting and in periods of leave.
- Any additional ad hoc administration support as required.

What you'll need to succeed
- Significant experience as an Executive Assistant or Personal Assistant supporting at least senior management level.
- Outstanding communication skills in liaising both internally within the organisation and externally with customers - including written, oral and interpersonal.
- Good sense of time management and excellent organisational skills.
- Proactive thinker with an enthusiastic can-do attitude and the ability to adapt and respond to a changing work environment.
- Highly developed MS Office skills especially PowerPoint.
- Previous experience in successfully developing and implementing administrative procedures.
- Ability to develop a working knowledge of relevant bank policy and procedures regarding administrative duties.
- Being able to demonstrate initiative. Be highly motivated and committed to the requirements of the position.
- Accuracy and attention to detail.
- Critical thinking and problem-solving skills.
