**About the Role**

Reporting to the Transformation Manager and working in close collaboration with essential stakeholders, the main objective is to support administrative functions related to Travel & Expense Management and Reception for the business. A crucial aspect of the role involves proactive stakeholder engagement and achieving results that enhance operational efficiency and contribute to business growth.

**Duties**

Travel Management Administration
- Maintain Traveller profiles - cost centre structure and data feeds
- Maintain user-guides, provide training, issue logins, reset passwords, disable users
- Monitor credit card invoicing process and data base for GST claiming
- Monitor airfare, car rental and accommodation expenditure
- Key contact for any system updates, traveller issues, invoicing

Expense Management Platform - Company Administrator for Concur
- Maintain Concur profiles, notifications and manage the user database for both ERP systems IFS and Jobpac
- Create report templates and generate reports.
- Maintain user-guides, provide training, issue logins, reset passwords, disable users
- Follow up unprocessed transactions to ensure Accounts Payable can be processed
- Assist Accounts Payable with reconciling Personal and Disputed Transactions
- Key contact with SAP Concur for system updates, optimising functionality, issues, invoicing

Additional duties
- Always ensure adequate coverage of Reception desk
- Manage excellent customer service levels to all stakeholders internal and external
- Liaise with Fleet on pool car administration
- Liaise with Assets & Facilities on all Property related issues
- Submit new card requests

**Skills & Experience**

To be successful in securing this opportunity you will have the following:

- Minimum of 5 years working as an Administration Manager or in a Senior Administration position.
- Experience working in a large, fast-paced environment.
- You need to be system savvy - experience with SAP Concur is a MUST.
- You will have excellent organisational skills
- You will be agile and adaptive to a dynamic environment, able to work under pressure and to tight deadlines
- You will have strong analytical and problem-solving skills. A proven ability to make balanced judgements using imperfect information.
