**Executive Assistant**:
**Permanent, full-time (38 hours per week)**

The Executive Assistant (EA) to the Principal is a key role at Orana Steiner School. The EA ensures that the office of the Principal functions effectively by supporting the Principal in a wide variety of daily situations. The EA is a member of the Executive Team who works under the direction of the Principal.

The EA is also Secretary to the School Board and provides the administrative support that it requires. Peak times are in the lead-up to Board meetings and Annual General Meetings. The focus of the role during these times is the Board Secretary component.

**Key Responsibilities**
- Provide secretariat and administrative support to the Principal as required.
- Use initiative to attend to IT problems and office management tasks in the office, to ensure the Principal’s day runs smoothly.
- Diary management, in accordance with business priorities.
- Answer general enquiries on behalf of the Principal and/or escalate as appropriate.
- Organise work-related travel and accommodation (where approved for professional learning) for all staff
- Prepare and proof-read correspondence on the Principal’s behalf, ensuring all communications and documentation are presented according to the Orana Style Guide.
- Credit card purchasing using an approved credit card to an approved limit.
- Represent Orana Steiner School at external meetings and forums, disseminating information and/or changes arising from these forums.
- Review all correspondence and forms requiring the Principal’s signature for accuracy and completeness.
- Provide necessary briefings and documentation for the Principal before appointments, meetings and presentations.
- Serve as the point of contact for the Executive Team, the Parents & Friends (P&F) Association and the School Board in their contact with the Principal.
- Support the Board Chair and Principal to produce materials for the Board Meetings and AGM.
- Attend monthly board meetings (outside of Hours) and prepare minutes for each meeting in a timely manner.
- Assist in the planning, logistics, organising and coordination of School events.
- Maintain electronic records and Board documentation as required.
- Lead positive interpersonal communication
- Model cheerful, prompt and professional service in accordance with the School’s ethos.

**Capabilities and Experience**
- Ability to maintain strict confidentiality at all times.
- Advanced Microsoft Office Suite skills.
- Previous EA or office management experience is highly desirable.
- High level of communication, organisation and interpersonal skills.
- High level of personal initiative and the ability to work independently, whilst being able to work collaborative to achieve Orana’s goals and mission.
- Ability and experience in maintaining working relationships with external stakeholders.
- Calm under pressure and able to prioritise workloads and to work to highly demanding deadlines.
- Attention to detail of the highest order
- Experience in event planning is desirable
- Commitment to a customer service philosophy and to work with an understanding of the Schools’ values.
- Commit to working core hours and be flexible when required to work outside of these.

**Qualifications**
- Business Administration qualifications (or similar) are desirable

**Other Requirements**
- Current ACT Working with Vulnerable People (WwVP) registration (or eligibility to obtain)
- Current First Aid Certificate highly desirable
- Eligibility to work in Australia, unrestricted.

The Executive Assistant is employed under the **_Independent Schools ACT (Support and Operational Staff) Multi-Enterprise Agreement 2021)._** Salary and conditions are determined by this award.
