Facilities Manager

**Position Description**:
A well-established organisation is currently seeking an experienced Facilities Manager with minor capital work projects experience.
Condition & Building Service Maintenance Monitoring
- The Facilities Manager must monitor the condition and maintenance activity of the site to effectively manage the building operations, compliance and identification of improvements.
General Building Condition Monitoring
- The Facilities Manager must undertake regular inspections to ensure that the required standards of presentation, cleaning, repairs and operations are being maintained by the relevant service contractors.
Breakdown Repair Management
- Fault or breakdown maintenance is critical to ensure services are maintained for the occupiers and rectification measures are adopted correctly.
- The Facilities Manager must attend to all repair works and maintenance deemed necessary in a timely manner with all items of expenditure exceeding the authorised amount submitted to owners for approval, unless such expenditure is considered of an urgent nature to either protect the property or ensure the supply of essential services to the property and to mitigate any further liability arising from the repair works.
Service Contract Administration
- Service contract administration and management is required to ensure appropriate service agreements are in place for all shared services. This contract review and administration will require review of service scope, checking compliance requirements, proposed terms of contract to meet shared service obligations.
- The Facilities Manager will be required to implement a rolling program of inspections to ascertain the current level of services, calling in those contractors not meeting accepted standards for a joint inspection and discussion on required improvements.
Quality, Health, Safety & Environment (QHSE) Management System
- The Facilities Manager must implement and manage all aspects of the Integrated Management System including meeting objectives and targets; raising incident reports for customer complaints and activity reports for issues identified on site; eliminating or minimising health and safety risks and environmental aspects by raising QHSE incident reports and hazard reports; consulting and communicating on HSE activities as per legal requirements; informing the General Manager of any process in which could jeopardise or improve quality and/or safety or the environment; and to conduct activities in a safe, quality and environmentally responsible manner in accordance with the company QHSE policies and procedures.
- The Facilities Manager must implement and manage HSE Compliance and Contractor Induction Procedures in accordance with all HSE laws and requirements and contractors must fully comply with these procedures.
Security Control, Access and Management Services
- The Facilities Manager is required to ensure the appropriate security systems and measures are in place.
Physical Facilities Management/Minor Project Management
- Manage minor capital work projects as requested by the property owner.
- Property inspections shall be undertaken to confirm plant start up and correct operation, including the inspection of common areas and assessment of cleaning standards on a daily basis.
- Maintain a stock register and co-ordinate safe storage of all building supplies, manuals, keys etc. Records and logs will be kept in a secure and orderly manner to facilitate retrieval.
- Client liaison for operational matters and services delivery related to base building performance.
- Take all reasonable steps to ensure safe, clean conditions and orderly operation of common/public areas of the building.
- Contractor liaison for service matters
- Monitoring all services and maintenance contractors, carrying out work in the building.
- Provide technical support and advice to the Committee on site management issues.
- Use reasonable endeavours to ensure correct and safe workplace practices are carried out at all times in the building.
- Schedule and arrange for statutory certification and inspections of Common Property and, in particular, essential services forming part of the Shared Facilities and arrange for the certification of common property as required by law.
- Maintain records regarding service requests and incidents and report all incidents or events which could give rise to a claim for damages against the building owner.
- Immediately report to the and record any notifiable event under the terms of the insurances affected which comes to the attention of the Facilities Manager
- Provide prompt and decisive response to the occupants’ reasonable requirements and maintenance of safe and comfortable environment for all occupants and visitors to the building.
- Ensure availability for planned overtime as required and be on-call 24 hours, 7 days a week to respond to any after hour’s emergencies. Attend meetings as requested.
