_JOY is seeking an experienced multi-skilled, process orientated, and details focused individual who will ensure the smooth running of the JOY office, admin support to the Management Team, administration of JOY’s member base and of volunteer team member record management processes._

**JOY’s Purpose**
JOY is Australia’s LGBTIQA+ community media organisation, listed on the Australian Charities and Not for Profit Commission Register, with the purpose of building a more inclusive society. We do this by providing the opportunity for freedom of expression, the breaking down of isolation and the celebration of the culture, achievements, and pride of the diverse rainbow community.
We broadcast on FM and DAB+, streaming live 24/7 and hosting the largest rainbow podcast library in the world.

**Role Overview**
The Operations Coordinator (OC) has three main areas of responsibility:
**JOY Office**
In this role, the OC will be responsible for the smooth operations of the JOY office as well as providing administration support to select management team members.
JOY’s OC is our first point of contact for the general public and is responsible for our onsite and on line reception activities.
The OC will coordinate The Office Admin volunteer team, who undertake a range of office and administration support services including but not limited to those listed in the "Key Responsibilities". The OC will lead the OA team including recruiting new volunteers as required.
The OC will collaborate with the leadership team and take directions to ensure communications and administrative tasks always meet the organisations strategic needs, policies, procedures and reflect the values of JOY Media.

**Team Member Onboarding/Offboarding**
JOY’s team includes a large volunteer cohort, who perform work across our organisation.
With a continuous movement of volunteers within the organisation, predominantly meeting JOY’s seasonal content offering, the OC will be responsible for ensuring that new and existing team member movements are accounted for.
This is a partially automated process, with the OC ensuring this process runs smoothly.
**Key Responsibilities**
- Onsite and online reception duties for JOY as our first point of contact, welcoming the general public, clients, suppliers and guests to our organisation and responding to request and queries - delivered by yourself and/or our Office Admin volunteers.
- Coordinating and being first point of contact for the OA team, managing their roster, recruitment, assigning tasks and monitoring their performance.
- Coordinating site management activities such as obtaining building security passes, Building Management liaison and the general environment of the office and studios.
- Coordinating and managing the onboarding and offboarding of JOY volunteer team members.
- Managing the memberships portal including new, renewal and lapsed memberships and correspondence.
- Creating Salesforce campaigns and payment forms in support of revenue raising activities.
- Working in conjunction with the Finance Coordinator to monitor salesforce payment processes, reconcile with financial systems and deliver and continually improve salesforce monthly reporting.
- Working in conjunction with the Technical Services Manager to complete all salesforce and payment gateway updates in a timely manner.
- Managing the admin and distribution of the JOY’s prizes and giveaways system.
- Supporting the Management Team with administration duties and assisting with events as needed
**Key Selection Criteria**
- Most of JOY processes are captured within the Salesforce CRM system. The OC needs to have a strong understanding of the various salesforce objects and their relationships to each other.

- Clear and concise verbal and written skills

- High level of engagement in LGBTIQA+ communities' activities and conversations

- Excellent planning and time management skills
- Excellent skills and experience using Office 365 and cloud-based technology and Campaign Monitor.
