**The Role**
Reporting to the First Assistant Secretary (FAS), Workforce Australia for Individuals Division, the Executive Assistant is responsible for providing high level administrative support to the FAS, Executive Officer, and broader Division, ensuring the effective and efficient operation of the FAS office.
Duties and responsibilities include:
- Preparation of meeting papers, including agendas, action items, talking points and committee meeting folders.
- Liaising professionally with a variety of senior internal and external stakeholders as required, assisting with general enquiries across the Division, broader department and externally as required.
- Booking and arranging domestic and international travel and accommodation as required, including acquittal of trips and preparation of itineraries.
- Working closely with the Executive Officer to assist in divisional coordination tasks, general administration and helping to manage clearance processes for the Division. This will also include assisting with duties that go beyond normal work, such as recruitment activities, reviewing and allocating Ministerial Correspondence, major accommodation moves and more.
- Supporting and mentoring Branch Executive Assistants within the Division, including management of Division Executive Assistant meetings to disseminate Group and Division priorities and promoting productive working relationships.
**Skills and Capabilities**
We are seeking individuals with the following demonstrated skills and capabilities:
- Ability to provide high level support to the Senior Executive managing multiple priorities
- Strong attention to detail, delivering quality outcomes, accountable for actions, producing accurate and quality work with tight timeframes
- Ability to manage confidential and sensitive information
- Highly organised and able to multitask in a dynamic environment
- Proven ability to work with limited supervision, demonstrated drive, flexibility, initiative, and sound judgement
- Ability to build and maintain positive and effective working relationships with all levels of stakeholders
**The Opportunity**
This position is available to Ongoing Department of Employment and Workplace Relations and APS employees as a temporary transfer at level or a temporary performance (Acting) opportunity for a period of up to 12 months.
