About the role:
A Fixed Term Contract covering Maternity leave. The Executive and Team Assistant will provide high level secretarial and administration support to the Executive General Manager, Group Strategy and Strategy & Research team. The EA / TA will support the execution of key responsibilities to ensure the smooth day-to-day running and best outcome of the leaders. The EA / TA will contribute to a high-performance culture through quality and efficient business operations.

How will you make an impact:
As Executive and Team Assistant some of the key responsibilities are as follows:

- Provide support to the Executive General Manager, Strategy and senior leadership team with diary management, internal and external meeting coordination, establishing recurring meetings (weekly, monthly, quarterly etc.), co-ordination of co-owner meetings and assisting with preparing any events hosted by members of the team.
- Provide support with meeting arrangements including video-conferencing and teleconferencing, meeting room bookings, catering & other technical requirements, and liaising with guest relations/reception
- Organise and manage team members’ travel requirements with our external travel provider in line with the Dexus travel policy
- Answer incoming calls and act as the point of contact in the absence of team members. Forward messages, handle routine enquiries and reallocate urgent matters
- Assist the Strategy team with administrative tasks and document management including photocopying, scanning, printing, collating and binding, typing of correspondence, preparation of agendas, minutes, presentations, compilation of reports, submissions, maintenance of training registers, and mail distribution
- Attend weekly/fortnightly/monthly team meetings, preparing agendas, minutes and arranging follow up actions as required
- Inbox management for Executive General Manager where necessary
- Support team members with the new starter onboarding processes including liaising with IT regarding equipment, P&C for induction programs, introductory meetings, arranging business cards, corporate Visa cards (if required) and other necessary requirements
- Organise any external offsite events hosted by the team if required, including venue, technical, catering arrangements, as well as organising and collating presentation material
- Ensure activities are conducted in accordance with relevant procedures and assisting team members in understanding and using company processes and systems

About You:

- Solid experience in an administrative or team assistant role supporting multiple staff, managing multiple tasks and achieving deadlines under pressure
- Strong communication skills both verbal and written, solid organisational skills and a positive and flexible can-do approach
- Demonstrated ability to use initiative, work autonomously and assume full responsibility for completion of tasks
- Highly flexible and adaptable in a changing and demanding environment
- Confident in building relationships and liaising in a professional manner with external and internal stakeholders, and at all levels of the business
- Ability to work in a fast-paced environment with strong accuracy and attention to detail
- Experience in corporate environments, preferably financial or property-based
- Proactive and willing to look for ways to improve processes and procedures
- Positive attitude and team spirit with demonstrated ability to work with a diverse range of personalities
